Practice Love is looking for a fun, stress-resistant practice assistant for our therapists and clients. You will work within a knowledgeable, enthusiastic and close-knit team. You can handle a lot of personal responsibility well. In this position, you will accurately handle all confidential information. You will be responsible for administrative duties, such as keeping client records up-to-date and monitoring the accuracy of the records. In addition, you will be our practice’s point of contact for our therapists and clients. In which you support practitioners in administrative processes.

As a Practice Support/HR Officer, you will be responsible for a wide range of duties in the areas of recruitment and selection, personnel administration, HR policy implementation, training and development. You will be the first point of contact for our therapists, provide connection in the team and be responsible for our employees’ job happiness. Our growing practice is looking for a driven, assertive and creative colleague who feels like contributing to the continued growth of Practice Love. What else does the position entail?

  • You are a point of contact for our clients
  • You answer emails and handle requests
  • You will work with the office team to ensure a stable and organized business structure
  • You will take care of correspondence, process and record client data and check entered data for accuracy and completeness
  • You will perform various administrative tasks in the back office
  • You schedule appointments for our therapists
  • You record, plan and perform the tasks that need to be done on a daily basis

Your HR responsibilities:

Recruitment and Selection:

  • – Assist in drafting job postings, including formulating job descriptions and requirements.
  • Manage the interview process, including screening resumes, interview scheduling and conducting interviews
  • Coordinate the boarding of new employees and provide necessary documentation.
  • Drafting employment contracts and ensuring that all contractual arrangements are in line with applicable labor laws and collective bargaining agreements.

Personnel Administration:

  • Maintain personnel files and ensure accurate and up-to-date records.
  • Manage leave and sick records and ensure compliance with company and legal requirements.
  • Assist with payroll and process changes in salary and benefits.
  • Process employee mutations and expense claims.
  • Ensure employees receive their paychecks in a timely manner and resolve any questions or issues related to payroll processing.
  • Oversee the claims system to ensure that all submitted expense claims are processed correctly and according to company guidelines.

HR Policy Implementation:

  • Assist in the implementation of HR policies and procedures within the organization.
  • Advise employees on HR-related issues and questions.
  • Contribute to creating a positive and inclusive work environment.

Training and Development:

  • Identifying training needs
  • Managing training documentation
  • Hosting our monthly Breakfast Morning where all therapists come together to learn together and connect with each other

This is you:

You are always looking ahead and not waiting. You adapt easily, are customer-oriented and have excellent oral and written expression skills in Dutch and English. Furthermore, you work accurately and are reliable. You are assertive and fast paced. You are able to bring and maintain overview in a hectic environment. You tie lines together and make connections. You can work well with Excel and are also very proficient with automated systems.

In addition, we ask:

At least a completed MBO4 education and experience in office work is a plus.

  • You are eager to learn and quickly master new systems
  • You are flexible and can change gears quickly

  • Your Dutch and English are very good in word and writing
  • Furthermore, you work accurately and are reliable.

  • You are highly proficient with automated systems.
  • Experience with Mailblue, Huddle, Plug &Pay and WordPress is a plus

We offer

We offer our colleagues varied and challenging work in a professional, open and loving work environment. This of course includes a good package of benefits in accordance with the GGZ collective bargaining agreement. The position is administration assistant for 4-28 hours. You will have a min/max contract for six months with the prospect of permanent employment. The salary is a minimum of € 2068 and a maximum of € 2947- (FWG 30) gross per month based on a 36-hour work week. In a nutshell:
